BaseLeap Labour Hire

BaseLeap Labour Hire, in detail.

Orders, assignments, FIFO rosters, onboarding, timesheets and the monthly invoice. Each area below is in the product today; the pictures are close-ups of the screens and of the components they are built from.

01

Labour hire orders

The client's requirement, and everything raised to fill it.

An order captures who the client needs, how many, where and at what rates. Assignments, onboarding, timesheets, quotes and invoices sit on the order as tabs, and fulfilment shows at a glance how many roles are filled.

  • Requirement by role and headcount
  • Pay and charge rates per role
  • Client, site and period on the order
  • Fulfilment tracked as people are placed
  • Its own layout and status flow
02

Assignments

One person, one placement, one record that carries the lot.

Each placement is an assignment with its own dates, rates, roster and cost centre. Shifts, timesheets, leave and onboarding progress all live on it, so the history of a placement is in one place.

  • Scheduled shifts against the assignment
  • Timesheets and approvals
  • Leave taken and leave booked
  • Start and end dates, rates and cost centre
  • Full change history
03

Rostering

The swing, the travel and the gaps, before they become a problem.

Roster templates define work days, R&R, travel days, daily hours and cycle length. Shifts generate from the template, and the master roster shows every client, panel and person across the month with gaps and pending leave flagged.

  • Templates: work days, R&R, travel, cycle length
  • Master roster across every client
  • Coverage and the unassigned pool
  • Shift swaps with approval
  • Rosters in your own timezone
04

Onboarding and compliance

Nobody reaches site without the paperwork that lets them.

Onboarding checklists are tracked per assignment, with a responsible party and due date on every item. Tickets and certifications carry expiry dates, and compliance is visible on the person's record wherever they are placed.

  • Checklist templates with owners and due dates
  • Client onboarding checklists
  • Tickets and certifications with expiry reminders
  • Documents held against the person
  • Progress across every assignment
05

Time and approvals

Hours that can be defended when the client queries them.

Hours are captured against the shift, from sign-on and sign-off or entered by the day. Managers approve in a queue, or the client approves by email through the portal, and a correction after approval is recorded with a name and a reason.

  • Timesheets captured against the shift
  • Manager approval queues
  • Client approval by email
  • Corrections with a reason and an audit trail
  • Leave requests and their approvals
06

Invoicing

The month's work, billed from what was actually approved.

Approved timesheets are grouped by client and order, ready to invoice. One click builds the invoice for the period from approved hours only, at the rates on the order.

  • Invoicing per client and per period
  • Approved hours only
  • Rate cards and agreements
  • Charges and adjustments
  • Invoices and payments
