The register

The asset, and everything true about it, in one place.

Every machine, tool and piece of kit is one record, whether you own it or service it for a customer. Status, location, condition and next service show in the list, and photos, documents and purchase details sit on the record.

Maintenance schedules

Not one service date: every regime the asset actually carries.

An asset can carry a mechanical service, a fire-suppression check and an electrical test, each its own schedule with its own interval and service stream. Due work is raised as service orders automatically, and the next service rolls up onto the asset.

Service history and certificates

Every service order against an asset is in its history, with the signed service report and any certificates issued on the visit. Certificates are configuration, so a new type is set up rather than built.

The hire desk

The same register, hired out, delivered, returned and billed.

The hire register shows what is out, who has it, when it is due back and what is due for billing. Availability is checked by the database, so a machine can never be promised twice, and returns, damage and billing cycles are part of the hire.

Inventory and parts

What is on the shelf, what is on order, and what the job used.

Stock is held by location with every movement on a ledger, measured in decimals so litres and metres are exact. Purchase orders receive goods line by line, including back orders and short-closes, and reorder points raise replenishment by supplier.

Cases and compliance

When something goes wrong on an asset, it is a record, not an email.
